This Event Venue Rental Agreement (“Agreement”) is entered into between Rivers End Event Center (“Venue”) and the undersigned Responsible Party (“Renter”).

1. RESPONSIBLE PARTY REQUIREMENT

The individual signing this Agreement must be at least twenty-five (25) years of age and shall be personally responsible for all guests, vendors, invitees, damages, fees, and compliance with this Agreement.

The Responsible Party must remain present at the Venue throughout the entire event.

2. VENUE CAPACITY

Maximum occupancy of Rivers End Event Center shall not exceed fifty (50) guests unless approved in writing by Venue management.

The Venue reserves the right to immediately terminate any event that exceeds occupancy limits.

No refund shall be issued for violations of occupancy requirements.

3. RENTAL PERIOD

Venue rentals are charged hourly.

A minimum rental period of two (2) hours is required.

The rental period includes:

  • Setup
  • Decorating
  • Vendor access
  • Event time
  • Cleanup

Additional time used beyond the contracted rental period shall be billed at one and one-half (1.5) times the contracted hourly rental rate.

4. PAYMENT TERMS

A non-refundable booking payment equal to fifty percent (50%) of the total rental fee is due upon reservation.

The remaining balance must be paid no later than forty-eight (48) hours before the event.

Failure to pay the remaining balance by the deadline may result in cancellation of the event and forfeiture of all monies paid.

5. CANCELLATION POLICY

More than 30 days before event:

Reservation payment is forfeited.

30 days or less before event:

All payments are non-refundable.

Venue may reschedule an event due to emergencies, severe weather, or circumstances beyond its control when reasonably possible.

6. ALCOHOL POLICY

Alcohol may be served only by the Responsible Party or licensed caterers/bartenders as permitted under Ohio law.

The Responsible Party agrees:

  • No alcohol shall be served to anyone under 21 years of age.
  • No illegal drugs are permitted.
  • No intoxicated person shall be served alcohol.
  • No alcoholic beverages may leave the premises.

Venue reserves the right to stop alcohol service or terminate the event if unsafe conditions exist.

For events involving alcohol, Venue may require event liability insurance naming Rivers End Event Center as an additional insured.

7. DECORATIONS

Permitted decorations include:

  • Floral arrangements
  • Table centerpieces
  • Balloon displays
  • Temporary wall décor approved by Venue

The following are prohibited:

  • Nails
  • Screws
  • Staples
  • Tape that damages surfaces
  • Glitter
  • Confetti
  • Rice
  • Birdseed
  • Fireworks
  • Sparklers
  • Smoke machines
  • Fog machines
  • Open flames without written approval

No decorations may be attached to walls, ceilings, woodwork, windows, furniture, or lighting fixtures in a manner that may cause damage.

8. VENDOR ACCESS

Outside vendors are permitted.

All vendors must:

  • Carry appropriate licenses and insurance when required.
  • Follow Venue policies.
  • Complete setup and removal within the contracted rental period.

Venue is not responsible for vendor performance or contractual disputes between the Renter and vendors.

9. WEDDING AND CELEBRATION EVENT ADDENDUM

For weddings, receptions, bridal showers, baby showers, anniversary parties, and similar celebrations:

The Responsible Party shall designate one individual as the Event Coordinator or Point of Contact for Venue staff.

Venue staff shall not be responsible for:

  • Coordinating vendors
  • Managing timelines
  • Decorating
  • Directing guests
  • Event planning activities

Renter acknowledges that Rivers End Event Center is a venue provider and not an event planner.

10. CELEBRATION OF LIFE AND MEMORIAL EVENTS

Rivers End Event Center frequently hosts memorial gatherings and celebrations of life.

Renter agrees to conduct all activities respectfully and in compliance with all applicable laws.

No cremated remains may be scattered, distributed, or otherwise handled on the premises except as part of a private memorial display approved by Venue.

11. PODCASTS, RECORDINGS, AND BUSINESS EVENTS

For podcast recordings, interviews, meetings, training sessions, and presentations:

Renter shall obtain all necessary permissions for copyrighted music, recordings, presentations, or broadcasts.

Venue shall not be responsible for interruptions caused by internet outages, power failures, or technical issues beyond Venue’s reasonable control.

12. CLEANING REQUIREMENTS

Before departure, Renter shall:

  • Remove all decorations.
  • Remove all personal belongings.
  • Dispose of trash in designated containers.
  • Return furniture to its original arrangement unless otherwise directed.
  • Leave the premises in substantially the same condition as received.

Venue reserves the right to assess additional cleaning fees of up to $250 for excessive cleaning requirements.

13. DAMAGE TO PROPERTY

The Responsible Party shall be financially responsible for all damage caused by:

  • Guests
  • Vendors
  • Children
  • Contractors
  • Invitees

Damage includes but is not limited to:

  • Furniture
  • Flooring
  • Walls
  • Fixtures
  • Audio equipment
  • Televisions
  • Linens
  • Decorations owned by Venue

Repair and replacement costs shall be due immediately upon invoice.

14. PARKING

Guests shall park only in designated public parking areas.

Rivers End Event Center is not responsible for theft, loss, damage, or accidents involving vehicles.

15. PHOTOGRAPHY AND MARKETING RELEASE

Venue may occasionally photograph or record the premises for promotional purposes.

Unless Renter provides written notice prior to the event, Venue may use photographs showing general event setups, décor, and venue spaces for marketing purposes.

Venue will not identify attendees by name without separate written consent.

16. INDEMNIFICATION

Renter agrees to indemnify, defend, and hold harmless Rivers End Event Center, its owners, employees, contractors, agents, and representatives from any claims, demands, lawsuits, damages, losses, expenses, or attorney fees arising from the event except those resulting from Venue’s gross negligence or intentional misconduct.

17. LIABILITY WAIVER

All guests, vendors, contractors, and attendees enter and use the premises at their own risk.

Venue shall not be liable for:

  • Personal injuries
  • Property damage
  • Theft
  • Lost items
  • Vendor actions
  • Guest misconduct

except where caused by Venue’s gross negligence or intentional misconduct.

18. FORCE MAJEURE

Venue shall not be liable for delays, interruptions, or cancellations caused by:

  • Severe weather
  • Acts of God
  • Government actions
  • Utility failures
  • Public emergencies
  • Pandemics
  • Civil disturbances

19. GOVERNING LAW

This Agreement shall be governed by the laws of the State of Ohio.

Any dispute arising under this Agreement shall be brought exclusively in the courts of Lake County, Ohio.

20. ENTIRE AGREEMENT

This Agreement constitutes the entire agreement between the parties.

No oral statements or representations shall modify this Agreement.

Any amendments must be in writing and signed by both parties.
